Update a dynamic field of the legal document

With this action, you configure an automation that updates a legal document field with the value of an activity field, or clears that field, leaving it empty. The action is executed automatically whenever the configured trigger is fired.

Important: before proceeding, make sure you are familiar with the configurations of Conditional triggers and Stage transition triggers.

In the Automations (Triggers and Actions) block, click the edit icon of a trigger to add an action.

Find the Actions block and click Add. A pop-up window will appear to add an action to the trigger.

Click Select and choose the action type Update a dynamic field of the legal document, under the Legal documents group.

Configuring the action fields

Next, a new section will open below with the following fields:

• Activity field: select the dynamic activity field whose value will be transferred to the legal document.

• Legal document type: select the type of legal document that will be updated.

• Fields to be updated in the Legal Document: choose which legal document field will receive the value selected in Activity field.

Tip: if the activity field is empty when the trigger is fired, the legal document field is not changed and retains the value it already had. To intentionally clear the field, use the Keep empty option, described below.

Clearing a legal document field

Right below Fields to be updated in the Legal Document, you will find the Keep empty option. Check it when you want the automation to delete the content of the chosen field in the legal document.

When checking Keep empty:

• the Activity field becomes disabled, as no value from the activity will be used;

• the Activity field is no longer required and the asterisk (*) is no longer displayed next to it;

• when the trigger is fired, the selected field in the legal document will be cleared.

To return to updating the field with an activity value, simply uncheck Keep empty and select the Activity field again.

Saving and tracking execution

After configuring, click the Save button to record the settings. The action will be executed according to the logic of the configured trigger type. For example, in a conditional trigger, if the condition defined in the Events column is met (such as a Single choice equal to Choice A), the action is executed.

To check if the trigger was fired, go to the Change logs card in the activity details. The execution appears with the user Activity firing trigger and the entry indicating that the Update a dynamic field of the legal document action was executed.

Tip: the log entry is the same whether the field is updated or cleared with the Keep empty option.
