Fill in fields with Blue AI (artificial intelligence)
Fill in fields with Blue AI (artificial intelligence)
In automations for an activity type, the Fill fields with Blue AI action uses artificial intelligence to analyze information and automatically populate activity fields. You write an instruction, specify which fields the AI should read data from (input fields), and which fields it should populate (output fields).
Accessing the action
Open the main menu, select the Activities module, click on Settings, and then on Activity types.
Open the desired activity type and go to Automations.
Create a new automation or click Edit on an existing automation.
In the Actions block, click + Add and, under Action type, select Fill fields with Blue AI (Artificial Intelligence).

Understanding the action screen
Right below the action type, the How to use this action box summarizes the usage guidelines:
Write the action to be executed, including the input and output fields.
The input fields contain the data that will be analyzed, and the output fields are the fields that will be filled.
If any input field is empty at the time of execution, it will not be considered in the analysis, which may compromise the quality of the response generated by the AI.
Next, you configure the action:
Instruction to be executed: type what the AI should do, up to 10,000 characters.
Suggestions: shortcuts to start the instruction — Extract data, Summarize text, Proofread text, and Analyze data.
Input fields and Output fields: use these options to insert into the instruction the activity fields that will be read and those that will be filled.
Advanced: additional action configuration options.
Tip: input fields are not mandatory. You can ask the AI for external information unrelated to the activity fields (for example, the current dollar exchange rate) and indicate only the output field where the result will be saved.
How the action behaves with empty or removed input fields
The action runs normally even when one or more input fields are empty in the activity or are no longer part of the activity type. In these cases, the AI simply disregards these fields and works with the information that is available.
Empty input field: in an action with 3 input fields and 2 output fields, if one of the input fields is empty in the activity, the action runs using the other 2 populated fields.
Input field removed from the activity type: in the same example, if one of the input fields is unlinked from the activity type, the action continues to work with the remaining input fields.
All input fields removed: the action still runs, but the result may not be as expected, since the AI will not have the activity data to analyze.
Tip: periodically review the action's input fields whenever you change the activity type's fields to ensure the AI continues to receive the data it needs.
Precautions when using AI
Information generated by AI is created automatically and may contain inaccuracies and, in some cases, even hallucinations. We recommend that all activities have human supervision to validate the responses.
