Time on activity

In the Time card, you record and track the hours worked on an activity. There, you can view all previously logged time entries, filter records (including sub-activities and associated activities), record new time entries, and edit or delete existing ones, according to your permissions.

Accessing the Time card

Open the desired activity and, under Activity details, click on the Time card.

The Time entries list block will be displayed, containing all time entries recorded for the activity, the pagination bar, the Filter button, and the Log time button.

Understanding the time entries list

The list displays each recorded time entry in a row, with the following information:

  • User: who recorded the time entry.

  • Activity type: the type of activity where the time was recorded.

  • Activity: number and title of the activity in which the time was logged. This column helps identify which activity each record comes from when you include sub-activities or associated activities in the query.

  • Time type: the classification of the recorded time (for example, Execution).

  • Unit: the business unit related to the record.

  • Start date/time: when the time tracking started.

  • Hourly rate: the hourly rate used in the calculation.

For example: if you record a time entry with a time type billed in R$, the Time x Amount (R$) column will be displayed. If you later record another time entry with a time type billed in $, the Time x Amount ($) column will also appear in the list.

Recorded hours are displayed separating days and hours: 24 hours appear as 1 day, and 30 hours appear as 1 day 06:00h.

Filtering recorded time entries

To refine the list, click Filter in the upper right corner of the pagination bar. The Filter block opens just above the list.

Fill in the fields you want to use. All fields are optional and can be combined:

  • Include all activities: check Sub-activities to also include time recorded in child activities, and Associated Activities to include time from activities associated with the activity you are currently in. Both options come unchecked, meaning that by default the list shows only the time entries of the activity itself.

  • User: search for and select one or more users. Blocked users also appear in the list, allowing you to view past records.

  • Unit: search for and select one or more business units. Inactive and expired units can also be selected.

  • Time type: search for and select one or more time types registered in the environment.

  • Period: enter the date and time in From and To to restrict records to a specific range.

After filling in the fields, click Filter. The list will now display only the time entries that meet the specified criteria.

To start a new search, click Clear: all information filled into the filter fields will be cleared.

Tip: to get a consolidated view of the hours for an entire process, open the parent activity and check Sub-activities and Associated Activities in the filter.

Recording a new time entry

Click the Log time button below the list. The Log time in activity modal will open. Fill in the fields in the order they appear:

  • User (required): who performed the work. If you have permission to record time for others, the field already displays the users on your team and allows searching for other active users. Otherwise, the field is pre-filled with your name and cannot be changed.

  • Time type (required): select the time classification. Upon choosing the type, the hourly rate and currency configured for it are loaded automatically.

  • Hourly rate: displays the value and currency of the selected time type. If your profile allows it, you can change this rate for this record only; otherwise, it is displayed for reference only.

  • Record date (required): enter the start date/time (From) and end date/time (To) in the same field. When opening the modal, the field is already pre-filled with the current date and time in From and one hour later in To - simply adjust if needed. Next to the period, the platform automatically displays the calculated duration (for example, from 01/10/2025 12:25 to 01/11/2025 12:55 = 1d 00:30).

  • Description: describe the work performed during the period.

With the fields filled in, click Save. A success message confirms the entry, and the new time entry appears in the list.

If any required field is not filled in, an alert message will indicate which fields are missing.

Tip: the hourly rate changed in the modal applies only to the time entry being recorded. If you reselect the time type, the field will revert to displaying the default value configured in Time types.

What changes according to your permissions

The User and Hourly rate fields behave according to the permissions of your access profile:

  • Can record time for other users and change hourly rate: selects any active user and edits the record's hourly rate.

  • Can record only own time and change hourly rate: the User field is locked to your name, but the hourly rate can be edited.

  • Can record only own time and cannot change hourly rate: User and Hourly rate are locked for editing.

  • Can record time for other users, but cannot change hourly rate: selects the user, and the hourly rate is displayed for reference only.

Remember that, to record, edit, or delete time entries, your profile needs write permission in the Time card; to view only, read permission is sufficient. Permissions are configured by the administrator under Access profile permissions.

Editing and deleting time entries

To change a record, click the edit icon in the row of the desired time entry. The same Log time in activity modal opens with the saved information; adjust what you need and click Save. To remove a record, click the delete icon.

  • If you can only record your own time, you can also only edit or delete your own records — the icons will not appear on time entries of other users.

  • If you can record time for others, you can edit or delete any recorded time entry.

  • In the parent activity, you can only delete time entries belonging to the activity itself. To delete a time entry from a sub-activity or associated activity, open the Time card for that activity.
